File View, Edit, and Download

View a Work

  • Log in using the ‘Login’ at the top right of the page
  • click on "View Works"
  • select the Work you wish to view
  • click the title or thumbnail of the file you wish to view
    • Check under ‘Metadata’ to see that all metadata fields have populated
    • Click on all 'Citations' links (EndNote, Zotero, Mendeley) to confirm they are working
      • Endnote will download a file
      • Zotero and Mendeley will return a SS page with info about embedded metadata
    • Click all hyperlinks on page to confirm they work
    • Click on all share links (Facebook, Twitter, etc.)

Edit a Work

Editing Metadata

  • Assuming you are viewing the work you wish to edit, otherwise view that work using the steps above
  • click on the edit button which will be visible if you have edit permissions just under the thumbnail
    • you can also Click ‘edit work’ from the ‘Select an Action’ drop menu
  • Add info to empty fields in Descriptions
  • Make sure that the Subject field autocompletes
  • Make sure that the Language field autocompletes
  • Make sure that the Location field autocompletes
  • click save
    • Go back to browse view (click breadcrumb) and verify entries

Uploading a new Version

  • On a work show page
  • In the Items listing click select the “Versions’ option from the dropdown
  • Choose a file (it can really be any file)
  • Click open
    • you should see the file name beside the choose file button
  • Click "upload new version"
    • At the top of the page you will see confirmation of the upload reading: The file filename has been updated.
  • Double check user activity by clicking your name at the top right and selecting "View Profile'
    • Select ‘Activity’ tab to see if it matches activity
  • Special Note - Make sure to wait a bit or press ctrl and the refresh button OR command-r to see the thumbnail regenerate

Reverting to Original

  • On a work show page
  • In the Items listing click select the “Versions’ option from the dropdown
  • Use the radio button beside the version to select it
  • click Save version
    • You should see 'The file <title> has been updated.'
    • Make sure to refresh the browser to see the change

Editing Visibility

  • Select "Edit" from the work show page
  • Switch visibility from Public to Penn State or Embargo or Lease
  • Open new browser but do not log in and confirm work cannot be seen
  • Login with the new browser and confirm work exists in latest activity
  • Logout and make sure work does not exist in activity
  • Set work back to Open Access and reload browser to confirm file appears

Download a Work

  • Login using the 'login' menu at the top right of the page
  • Click on 'View Works'
  • Select a work you wish to operate on via either:
    • Clicking the work's thumbnail
    • Clicking the work's title
    • Clicking 'Select an action' next to the particular item
    • Checking the box next to the particular item, then clicking 'Edit Selected'
  • Download the work's representative fileset by clicking the 'Download xxx' button under the thumbnail on the right side.
  • Download one of the work's filesets, either:
    • Clicking the file's thumbnail image or title (loads the file's page) then clicking the 'Download xxx' button
    • Clicking 'Select an action' drop down menu for the particular file, then selecting 'Download'
